Parents ask us…

Yes. Photos are stored securely in a private database and are only visible to our individually verified scouts — never to the public, never indexed by Google. Our admin team approves each photo before it becomes visible to anyone.
You can deactivate your child's profile at any time with a single click — it instantly becomes invisible to all scouts. You can also permanently delete the profile and all associated data. We will confirm deletion within 30 days, as required by South Africa's POPIA law.
No. This is a hard rule built into the platform. Scouts can only send a contact request to you, the parent or guardian. If you accept, they receive your contact details — not your child's. Your child's personal information is never shared with any scout.
We aim to review and approve all submitted profiles within 48 hours on business days. You'll receive an email as soon as your child's profile is approved or if we need any additional information.
Every time a verified scout views your child's profile, you receive a notification showing the scout's organisation name. You can see the full view history in your parent dashboard at any time.

How We Handle Your Data (POPIA)

What we collect: Your name, email, phone. Your child's name, DOB, sport, school, photos, videos, achievements.
Why we collect it: So vetted scouts can discover your child's talent and contact you about opportunities.
Who we share it with: Only with individually verified scouts and schools. Never with the public, never sold, never advertised.
How long we keep it: While your profile is active, plus 12 months after you close your account. Delete any time.
Your rights: Access, correct, delete, or stop processing your data. Email privacy@scoutrepublic.co.za.
To complain: Contact the Information Regulator of South Africa at inforeg.org.za.

For Parents

Yes, completely free. We believe that cost should never be a barrier for a child's opportunity. Registration, profile creation, and all parent features are free forever.
Currently for athletes aged 8 to 18. Profiles are categorised into age groups (U10, U13, U16, U19) so scouts can filter appropriately.
Yes. Scout Republic covers all nine provinces of South Africa. We actively encourage registrations from rural provinces including Limpopo, Eastern Cape, KwaZulu-Natal, and North West.
Yes. You can create up to three child profiles under one parent account. Each profile is managed and approved independently.
Yes. A video link is optional. A strong profile with good photos, a clear bio, and documented achievements is still very valuable to scouts. If you can, even a short phone video uploaded to YouTube goes a long way.
Phase 1 covers Rugby, Wrestling, Soccer/Football, Cricket, Athletics (Track & Field), Tennis, Swimming, Netball, Dancesport, Chess, Fishing, Hunting, Marimba, and Drum Majorettes. Additional sports will be added in Phase 2 based on demand.

For Scouts & Schools

We aim to review all scout applications within 5 business days. During busier periods it may take slightly longer, and we may contact you to request additional documentation.
No. This is a hard rule. You can send a contact request through the platform, which is delivered to the parent or guardian. Only if the parent accepts do you receive their contact details. Children's personal details are never shared.
During Phase 1 (the first 4–6 months), access is free for all verified scouts and schools. Paid subscription tiers will be introduced in Phase 2 for those wanting unlimited searches, shortlisting, and contact requests.

Safety & Privacy

Yes. Scout Republic is designed from the ground up with POPIA (Protection of Personal Information Act) compliance in mind. We have a named Information Officer, we collect only the data we need, we store it securely, and we honour all data subject rights including access, correction, and deletion.
All data is stored in Supabase (PostgreSQL) in the Frankfurt, Germany region — which is considered an adequate data protection jurisdiction for POPIA purposes. Sensitive fields like ID numbers are encrypted at rest.
You can delete your child's profile at any time from your parent dashboard. For full account deletion, click "Delete My Account" in Account Settings or email privacy@scoutrepublic.co.za. We will confirm deletion within 30 days as required by POPIA.

1. Who we are

Scout Republic is a South African youth sports talent discovery platform operated by Johann Moller (johannzackmoller@gmail.com). We are the Responsible Party for your personal information as defined by the Protection of Personal Information Act, 2013 (POPIA).

2. What information we collect

Parent / Guardian information
Full name, email address, cellphone number, province, relationship to child, and how you heard about us.
Child / Athlete information
First name, date of birth, primary sport, and school name (optional). We do not collect your child's surname, ID number, or home address at registration.
Scout / Coach / School information
Full name, email address, cellphone number, organisation name, role, and a written statement of purpose.

3. Why we collect your information

  • To create and manage your child's athlete profile on the platform.
  • To allow verified scouts, coaches, and academies to discover your child's sporting talent.
  • To send you notifications when a scout views your child's profile.
  • To communicate with you about your registration, platform updates, and relevant opportunities.
  • To verify the identity and affiliation of scout and school applicants before granting access.
  • To comply with our legal obligations under POPIA and other applicable South African law.

4. Legal basis for processing

We process your personal information on the basis of your explicit consent, given when you tick the consent checkboxes on our registration form. You may withdraw your consent at any time by emailing johannzackmoller@gmail.com. Withdrawing consent will result in your information and your child's profile being removed from our platform.

5. Who can see your child's information

Important: scouts never see your personal contact details.
Verified scouts can view your child's first name, sport, and general province only. They cannot see your email, phone number, your child's surname, date of birth, school name, or home address.

All contact between scouts and families happens through Scout Republic only. A scout may send a contact request through the platform — we will forward this to you, the parent, so you can decide whether to respond. Direct communication between scouts and children is prohibited and grounds for immediate removal.

6. How long we keep your information

We retain your information and your child's profile for as long as your account is active, or until you request deletion. You may request deletion at any time by emailing johannzackmoller@gmail.com. We will delete all your information within 14 business days of receiving your request.

7. Where your information is stored

Your personal information is stored securely on servers in the European Union (Frankfurt, Germany) via Supabase. This location was chosen to ensure a high standard of data protection consistent with POPIA requirements.

8. Your rights under POPIA

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may ask us to correct any inaccurate information.
  • Deletion: You may ask us to delete your information and your child's profile at any time.
  • Objection: You may object to the processing of your personal information.
  • Complaints: You may lodge a complaint with the Information Regulator of South Africa at inforeg.org.za.

1. About Scout Republic

Scout Republic is a South African youth sports talent discovery platform that connects talented young athletes with verified scouts, coaches, and academies. The platform is operated by Johann Moller. By using Scout Republic, you agree to these Terms of Use in full.

2. Who may use this platform

Parents and guardians
You must be the legal parent or guardian of the child you are registering, and 18 years of age or older. By registering, you confirm you have legal authority to consent on behalf of the child.
Scouts, coaches, and schools
You must be a verified representative of a legitimate sports organisation, school, academy, or scouting body. Applications are reviewed before access is granted. Providing false information is grounds for permanent removal.
Children may not register themselves
This platform is for parents and guardians to register on behalf of their child. Children under 18 may not create their own account.

3. Parent responsibilities

  • You are responsible for ensuring the information you provide about your child is accurate.
  • You must keep your contact details up to date so we can reach you.
  • You may deactivate or delete your child's profile at any time by contacting us.
  • You agree to notify us immediately if you no longer consent to your child's profile being listed.

4. Scout and school responsibilities

  • You agree to use Scout Republic solely for legitimate talent identification and development purposes.
  • You may never contact a child directly. All contact requests must be sent through the platform to the parent or guardian only.
  • You may not share, sell, or distribute any athlete profile information outside of Scout Republic.
  • You must represent your organisation accurately and notify us if your affiliation changes.

5. Zero tolerance: child safety

The following actions will result in immediate permanent removal and may be reported to the South African Police Service:

  • Any attempt to contact a child directly outside the platform.
  • Providing false identity or organisational information to gain access.
  • Requesting information about a child's physical location or daily routine.
  • Any conduct that could reasonably be considered grooming, exploitation, or harassment.

6. Intellectual property

All content on Scout Republic including the name, logo, design, and text is the property of Scout Republic and may not be copied or used without written permission.

7. Limitation of liability

Scout Republic provides a platform to facilitate connections between families and sports professionals. We do not guarantee that any athlete will be scouted or recruited. We are not responsible for agreements or disputes that arise between parents and scouts after contact is made through our platform.

8. Governing law

These Terms of Use are governed by the laws of the Republic of South Africa, including POPIA, the Children's Act 38 of 2005, and the Electronic Communications and Transactions Act (ECTA). Any disputes will be resolved in the courts of South Africa.

9. Changes to these terms

We may update these Terms of Use from time to time. Continued use of Scout Republic after changes are published constitutes your acceptance of the updated terms. We will notify registered users of material changes by email.
